Everything you're about to ask
Including the awkward ones. If something is not built, or not a good fit, you will find it said plainly here.
Do my guests need to install an app?
No. Guests scan the QR code on their table and the menu opens in their phone's browser. There is nothing to download and no account to create. Only your staff use the DinePilot app.
What does it cost right now?
Nothing. DinePilot is free while it is in early access, and no card is required. The plans on our pricing page are indicative of what billing will look like later, and we will give you notice well before anything changes.
Can waiters still take orders the usual way?
Yes. QR ordering is optional per guest. Waiters can create an order for any table from the app, and both kinds of order flow to the kitchen identically. You can filter orders by whether they came from a QR scan or a waiter.
What happens if the internet drops mid-service?
The staff app keeps working and falls back to refreshing on demand when the live connection is unavailable, then catches up once it reconnects. Order placement is transactional, so an order is either fully recorded or not recorded at all — it never half-lands.
Can I take online payments through DinePilot?
Not yet. Today your cashier records how the guest paid — cash, card or UPI — along with an optional reference, and DinePilot handles the bill, the tax breakdown and the receipt. Letting guests pay from their own phone is on our roadmap.
Does DinePilot handle takeaway or delivery?
Not in this version. DinePilot is built for dine-in service — tables, QR ordering at the table, and the kitchen-to-counter flow around it. Takeaway and delivery are on the roadmap.
Is my restaurant's data separate from other restaurants?
Yes. Every record is scoped to your restaurant and enforced at the database query level plus a permission check on every request, so one restaurant can never read or change another's menu, orders or sales.
What devices does the staff app run on?
DinePilot runs on the iPhone and Android phones your staff already carry. The iPhone app is on the App Store now, and the Android app is coming soon.
Do I need to buy any new hardware?
No. DinePilot runs on the phones your staff already carry — no POS terminal, no KOT printer, no card reader to buy. The only thing you need to print is the QR code for each table, and you can do that on ordinary paper.
What about guests who are not comfortable scanning a QR code?
QR ordering is optional, per guest, per table. Anyone who would rather order the usual way just tells a waiter, who takes the order on their phone. Both kinds of order reach the kitchen the same way, so you never have to choose one or the other for the whole restaurant.
How long does setup actually take?
Signing up, adding your restaurant details, creating staff accounts and adding your tables takes a few minutes. The real work is your menu — how long that takes depends on how many dishes and photos you have. Once the menu is in, you download the QR sheet, put a code on each table, and you can take an order immediately.
What happens to my existing POS or billing system?
DinePilot does not integrate with other POS systems today, so it is best suited to restaurants that want it to be the system of record for dine-in orders and bills. If you have a POS you cannot replace, talk to us before you commit — we would rather tell you it is a poor fit than have you find out later.
Can I try it without disrupting a live service?
Yes, and we recommend it. Set your restaurant up, put a QR on one or two tables, and run those alongside your normal process for a service or two. Nothing else in your restaurant changes while you do.
Who owns the data — and can I get it out?
Your menu, orders, payments and analytics are yours. We do not sell your data and we do not advertise to your guests. Ask us to close your account and we will remove or anonymise your data, other than records we are legally required to retain.
